Realistic price ranges to help you plan

Exhibition stand costs vary depending on design requirements and the level of technical sophistication, but for modular stands they usually range between €350 and €850 per m². Whilst compact hire solutions make it easier to get started, bespoke brand presentations featuring large-scale LED technology require a higher level of investment. We’ll draw up transparent cost estimates for you so that you can find the optimal balance between budget and impact.

  • Compact packages: Cost-effective system solutions for smaller spaces.
  • Premium appearances: High-quality hybrid construction with a focus on visual impact from a distance.
  • Technical upgrades: Scalable LED displays at fixed rental rates.
  • ROI calculation: The cost of a stand is often recouped after just three trade fairs.

Sample cost estimate for a successful trade fair campaign

For a 20 m² terraced stand built using a modular system, the budget is approximately €8,000 to €12,000, including planning, assembly and logistics. For larger spaces, such as a 50 m² end stand with an LED wall and lounge area, costs of around €25,000 to €35,000 should be expected. Thanks to the principle of reuse, these investment costs fall significantly from the second use onwards, as the costs for the basic system are no longer incurred.

  • 20 m² base: Efficient system construction with a focus on graphics and information points.
  • 50 m² Premium: A hybrid building featuring media technology and a separate meeting room.
  • Savings: Up to 30 % cost savings through the reuse of frames.
  • Transparency: Fixed quotes for all services, from graphic design to logistics.

FAQ

Frequently asked questions (FAQ)

The stand fees, which form the basis of your exhibition stand costs, are set by the relevant exhibition organiser. Prices are typically charged per square metre and vary according to hall location, type of exhibition and exhibitor category. In addition, there are often communication or media flat-rate charges. sectorplan takes these stand fees into account in its budget planning and shows what percentage of your exhibition costs is allocated to floor space, stand construction and services.

For compact spaces of 20 square metres, you’ll benefit particularly from our modular Aluvision systems. The costs depend heavily on whether you rent or buy the stand and on the extent to which media technology (e.g. LED tiles) is used. Thanks to standardisation, we are able to provide reliable figures at a very early stage of planning, which are significantly lower than the costs of a conventional bespoke stand.

For medium-sized stands, such as 50 square metres, we develop concepts that combine a strong brand experience with cost-effectiveness. These often involve a combination of modular construction, bespoke graphics and functional areas such as lounges. As the frames can be reused, the cost per square metre decreases with each subsequent use, making 50-square-metre stands an economically sustainable solution for your annual events.

In addition to the actual stand construction, aspects such as logistics (transport and storage), assembly, media technology support, hospitality and staffing must be taken into account. sectorplan offers scalable packages for these services. Thanks to our own workshops and in-house warehousing, we keep these ancillary costs transparent and avoid unforeseen surcharges from external service providers.

The total exhibition costs comprise stand fees, stand construction costs per square metre, media technology, logistics, staff, travel expenses and hospitality. For many companies, 40–60 % of the total costs are attributable to stand construction and technical services. sectorplan organises all these items into a clear breakdown, enabling you to identify potential savings and make informed decisions on where to prioritise your budget.

The cost per day of a trade fair stand depends on the type of stand chosen, the duration of the fair and the number of events. With modular system stands, the investment is spread across several fairs, which reduces the daily rates. In our quotations, we calculate both the total cost of the project and the cost per exhibition day, so that you can better assess the return on investment of your exhibition presence.
